What we collect, and why

• When you fill in a form: your name, contact details, address and whatever you tell us about the job. We use it to arrange a survey and give you a price. Our lawful basis is taking steps at your request before entering into a contract.
• If you become a customer: the survey record, system details, installation and service history. We keep this because we need it to look after the system, and because manufacturer warranties require documented servicing.
• If you join Coolston Care: your bank details for the direct debit, held by our payment provider rather than by us.

How long we keep it

Enquiries that do not become jobs: two years, then deleted. Customer records: for as long as we look after the system, and six years after that, which is how long we may need them for tax and for any claim.

Who else sees it

Only where the work requires it: the electrician on your job, the manufacturer when we register your warranty, our accountant, and the providers who run our email, website and payments. We do not sell your details, and we do not share them for anyone else’s marketing.

Marketing

We will not add you to a mailing list because you asked for a quote. If we ever send marketing, it will be because you asked us to, and there will be a way to stop it in every message.

Photographs

We photograph installations for our own website. We ask permission on the day, every time, and no is a perfectly good answer. We never photograph faces, children, or anything that identifies the address. If you change your mind later, tell us and we will take it down.

Your rights

You can ask for a copy of what we hold, ask us to correct it, ask us to delete it, or object to us using it. Email us and we will deal with it within a month. If you are not happy with how we have handled something, you can complain to the Information Commissioner’s Office at ico.org.uk.
